Summary:
A focus of this position will include providing administrative support for the HR & Safety departments, assisting with the hiring process, scheduling new employee orientations, trainings and entering of a high volume of employment records into our HR database.
They will support safety initiatives by maintaining employee training records and supporting the safety manager with maintaining up to date safety files and records.
Education & Experience o High School Diploma/ GED with a combination of 1-2 years related work experience.
o 1-2 years' Experience in Human Resources or administrative role providing and/or coordinating services in HR or Administrative tasks.
o 1-2 years' Experience in Safety Minimum Required
Qualifications:
1.
Must be Bilingual (English and Spanish).
2.
Some knowledge in HR policies and procedures including HR best practices and current regulations.
3.
Some knowledge of employee on boarding process.
4.
Some knowledge of labor legislation (state and federal labor laws) and Cal OSHA.
5.
Proficient in Microsoft Office Suite.
6.
Must be able to communicate at all levels within the organization.
7.
Must have good analytical skills.
8.
Must be a team player.
9.
Maintains sound judgment and has problem-solving skills.
10.
Knowledge of HRIS or Safety Platforms a plus.
11.
Safety and/or HR Vocational Training a plus.

High level of attention to detail and time management skills.

1.
Log attendance reports provided by supervisors into attendance calendar.
2.
Maintain updated non-exempt employee personnel files.
3.
Verify eligibility for vacation, track requests, and process non-exempt requests.
4.
Reviews payroll timesheets.
Emails supervisors & HR with discrepancies.
5.
Collects timesheet records and follows up with supervisors regarding missing records.
6.
Follow up on documentation and log these in a timely manner (e.
g.
, corrective actions, writeups, etc.
).
7.
Separates payroll checks, prepares signing sheet and distributes paychecks on pay-day.
8.
Assists in company events.
9.
Assists during recruitment events (such as lifting and carrying company gear to event site, set up recruitment tables, handout flyers, meet and greet potential candidates, etc.
).
10.
Maintains inventory and organizes MR gear and HR supplies.
11.
Assist with new hire orientations and tours.
12.
Maintains employee confidentiality and protects operations by keeping HR information confidential.
Safety Essential Functions/ Duties and Responsibilities 50%:
1.
Maintains Injuries and Safety Incidents Log; notifies Safety Manager of statistics and trends.
2.
Maintains Employee Training Records:
Safety & Food Safety.
3.
Sends out notices for makeup training and follows up on completion with the supervisors.
4.
Prepares trainee certificates and trainee licensees for forklift operators/drivers.
5.
Prepares safety recognitions / certificates.
6.
Maintains, files, and logs all safety inspections and extinguisher inspection from the safety committee.
7.
Based on safety inspection findings, reports to Safety Manager specific needs identified on the floor or needing their immediate attention.
8.
Schedules New Hire Safety Training for Safety Manager; assists with trainings as needed.
9.
Ensures that safety signs/posters are updated and available when required.
10.
Maintains PPE and First Aid inventory.
11.
Assists with Employee Safety trainings, prepare presentations, prints quizzes/materials, prepares training flyer with training dates, time, location, topic, etc.
12.
Assists in reviewing and scoring training quizzes/material.
13.
Participates in safety initiatives, safety training, and is an active member of the Safety Committee; maintain safety committee meeting minutes and records.
14.
Assists with Hearing Conservation Program employee testing, coordinating, preparing signing sheet, etc.
15.
Assists in updating SDS Binder and Table of Contents.
16.
Other duties as assigned.
